Clover Instructions
Getting Started
To begin using Clover you will
need to have an account set up. To do this send email containing the
department and Bear ID of the manager you would like set up to ASSET
Admins.
Adding Student Workers
Set the current semester Upload Photos
First you'll need to get digital photos of each of your students. A good size for
these is a width of 100 or 150. This way the photos will fit correctly on the screen.
If you need to resize your photos, you may use the
Automatic Thumbnail Creator
Once you have the photos saved on your computer, select 'Upload Photos' from the
Clover Admin menu. Select the department the student is in from the drop-down list
and click 'Go!' Select the name of the student from the drop-down list, then
click 'Browse...' This will allow you to browse your computer for the image
file you have saved. Once you have selected the photo, click 'Upload Photo.'
You will receive confirmation that your photo was uploaded. Remove Photos Add a Lab/Group for Comments Edit/Remove My Labs/Groups List all Students Produce a Report
You may view a report of all data for an individual student by selecting 'Individual' and
choosing the student from the drop-down list. Then select to view the student's
Entire History or view their data by semester by selecting the time frame from the
drop-down list.
You may view data for all students at once by selecting 'Group' then selecting the
type of data you wish to view and the semester (or Entire History) from the drop-down
lists.
Once you have selected the type of report you wish to view, click 'Produce Report.' You
will see a report of all the data you selected.
View Student of the Month Stats
To utilize this feature, each month you must reset the current month. From the
Clover Admin menu select 'View Student of the Month Stats'. Select the correct
department and click 'Go!'. You will see your current month, and a count of nominations
for each student who has been nominated. To reset the nominations, click 'Set New
Month.' Select the month from the drop-down list and click 'Save Month.' You will
receive confirmation of the change. View Phone List
To enter this list, please read the instructions below.
To view this list, select 'View Phone List' from the Clover Admin menu. Select the
department you want the list for and click 'Go!'. View Customer Comment Card Enter Phone Numbers
To enter this list, select 'Enter Phone Numbers' from the Clover Admin menu. Select the
department you want the list for and click 'Go!'. The phone list must be entered in a
tab-delimited format. The easiest way to do this is to create your phone list in Excel
with the columns in the following order: First Name, Last Name, Phone, Bear_ID. Then
'Select All' and 'Copy' the selection, then 'Paste' the selection into the text box on
the Clover Enter Phone Numbers page. Click 'Save Changes to Phone List.' You will
receive confirmation of the change. Your students will be able to view this list. Enter Schedule
To enter this schedule, select 'Enter Schedule' from the Clover Admin menu. Select the
department and click 'Go!'. The schedule must be entered in a tab-delimited format.
The easiest way to do this is to create your schedule in Excel with the columns in
the following order: Name, Job, Location, Date, Start time, End time. Then
'Select All' and 'Copy' the selection, then 'Paste' the selection into the text box on
the Clover Enter Schedule page. Click 'Save Changes to Schedule.' You will
receive confirmation of the change. Your students will be able to view this schedule. Enter Goals Enter Boss Commendations Edit Stars/Commendations/Goals
From the Clover Admin menu, select 'Edit Stars/Commendations/Goals.' Select the
department and click 'Go!'. Select the type of data you wish to edit and the student
from the drop-down lists, then click 'Edit Data.'
Follow the instructions on the screen to edit or delete the data. Click the save button,
and you will receive confirmation of any changes made. Customize Customer Comment Card

getting your student workers loaded into the program.
From the Clover
Admin Menu select 'Set the current semester.' Select the department you are setting
from the drop-down list and click 'Go!' You will see the current semester listed.
To change the semester, select the class session (Spring, Summer or Fall) and year
from the drop-down list. Then click 'Set Current Semester.' You will receive
confirmation of the change.
In order to use the Customer Comment
Card, you'll need to upload photos of your students. Photos are used instead of names
to protect the privacy of students working in labs. If you prefer to have your students'
names listed, you may put their names on their photos.
This feature is useful if a student is
still an active worker, but they don't need to be listed on the Customer Comment Card
anymore. To remove a photo, select 'Remove Photos' from the Clover Admin Menu. Select
the department from the drop-down list and click 'Go!' Select the name of the student
from the drop-down list and click 'Remove Photo.' You will receive confirmation that
the photo has been removed.
In order to use the
Customer Comment Card, you must first have a Lab or Group name to be listed on the
CCC where your customers can see a list of your students. To add a lab or group, select
'Add a Lab/Group for Comments' from the Clover Admin Menu. Select the department
from the drop-down list and click 'Go!' In the text box, enter the name for the lab
where your students work or a group name your customers would recognize. Once you have
entered a name, click 'Add Lab.' You will receive confirmation of the addition.
If you need to change the
name of or remove your Lab or Group that's listed on the Customer Comment Card,
select 'Edit My Labs/Groups' from the Clover Admin Menu. Select the department from
the drop-down list and click 'Go!' You will see a list of your Labs/Groups. Select
the one you wish to edit and click 'Edit Lab.' If you need to change the name, select
edit and make the changes in the text box. If you just want to remove the lab or
group name, select delete. Then click 'Save.' You will receive confirmation of the
changes.
This feature will provide
you with a list of all your active student workers as well as a list containing both
active and inactive students in your department. To view this list, from
the Clover Admin menu select 'List all Students'. Select the
department you want the list for and click 'Go!'.
This feature allows the manager to
view all Star Awards Received, Star Awards Given, Supervisor Commendations, Customer
Comments, Goals and Self Evaluations. To view this information, select 'Produce a
Report' from the Clover Admin menu. Select the department you want the report for
and click 'Go!'.
This feature allows
your students to nominate a peer for Student of the Month. This can be used as an
incentive for improvement.
You may wish to provide your students
with a list of phone numbers of managers and emergency contact numbers and/or
their peers (in case they need to swap shifts to cover a lab shift).
After you upload photos
or customize the Customer Comment Card, you may wish to view the CCC to see what it
looks like. To do so, select 'View Customer Comment Card' from the Clover Admin menu.
Select the department and click 'Go!'. You won't be able to submit comments- only view
the Comment Card.
You may wish to provide your students
with a list of phone numbers of managers and emergency contact numbers and/or
their peers (in case they need to swap shifts to cover a lab shift).
You may wish to provide your students
with a schedule of who is working which shifts in case they need to swap shifts with
a peer.
This feature is generally used during the
performance review when the student sets goals for their next semester. To enter goals
for a student, select 'Enter Goals' from the Clover Admin menu. Select the
department the student is in and click 'Go!'. Select the semester and year for the goals
from the drop-down list. You'll want to select the upcoming semester, so the student
can view their goals throughout that semester to keep them in mind. Then select the
student's name and enter their goals in the text box. Click 'Save Goals,' and you
will receive confirmation of the goals being saved.
This feature is normally
accessed from the Boss Commendation page (linked from Clover's opening page), but it
is also available to managers here for convenient access. To enter a commendation for
a student, select 'Enter Boss Commendations' from the Clover Admin menu. Select the
department the student is in and click 'Go!'. Select the student's name from the
drop-down menu and enter the commendation in the text box. Click 'Send Commendation,'
and you will receive confirmation of the commendation being saved.
This feature allows the
manager to edit or remove any Star Awards, Boss Commendations and Goals for the current
semester. This becomes necessary to fix typos the supervisor may have made or to remove
any inappropriate Star Awards a student may have submitted.
In order to use the
Customer Comment Card (CCC), you must first set the questions that will appear on the CCC.
To customize the CCC, select 'Customize Customer Comment Card' from the Clover Admin Menu.
Select the department from the drop-down list and click 'Go!' You will see four
options... Add a Multiple Choice Question, Add a Short Answer Question, Remove Question,
and Edit Question. Make your selection and click 'Customize Card.'
You may add as many questions of any type as you want. If you choose to add a Multiple
Choice Question, you will be asked to enter the question text and the choices. An example
of this type of question might be...
The attendant was eager to help.
If you add a Short Answer Question, you will be asked to enter the question text. Your
text will appear on the CCC above a text box for the user to type their response in. An
example of this type of question might be...

5 (yes)
Please leave comments about your experience with this assistant...
Once you have entered your question and possible answers, click 'Add Question.' You
will receive confirmation of the addition, then you may choose to continue customizing
the CCC or to return to the Clover Admin menu.
You may also remove a question from the CCC. This will not affect the reports of any
student who already had responses to this question. It will simply remove the question
from current CCC. When you select 'Remove Question' you will see a list of the questions
that appear on your CCC. Select the one you wish to remove and click 'Remove Selected
Question.' You will not receive any warning before the question is removed.
Editing a question in the CCC will not affect the reports of any student who already
had responses to this question. Only future responses to the question will be affected
by the change. When you select 'Edit Question' you will see a list of the questions
that appear on your CCC. Select the one you wish to edit and click 'Edit Selected
Question.' You will then be able to edit both the question wording and (for multiple
choice questions) the answer choices. Once you have made your changes, click 'Update
Question.'
In order to use the
Self Evaluation, you must first set the questions that will appear on the Self Evaluation.
To customize the Self Evaluation, select 'Customize Self Evaluation' from the Clover
Admin Menu. Select the department from the drop-down list and click 'Go!' You will see
four options... Add a Multiple Choice Question, Add a Short Answer Question, Remove
Question, and Edit Question. Make your selection and click 'Customize Self Evaluation.'
You may add as many questions of any type as you want. If you choose to add a Multiple
Choice Question, you will be asked to enter the question text and the choices. An example
of this type of question might be...
How well do you know Photoshop?
If you add a Short Answer Question, you will be asked to enter the question text. Your
text will appear on the Self Evaluation above a text box for the user to type their
response in. An example of this type of question might be...

Please list your three greatest strengths...
Once you have entered your question and possible answers, click 'Add Question.' You
will receive confirmation of the addition, then you may choose to continue customizing
the Self Evaluation or to return to the Clover Admin menu.
You may also remove a question from the Self Evaluation. This will not affect the
reports of any student who had already responsed to this question. It will simply remove
the question from current Self Evaluation. When you select 'Remove Question' you will
see a list of the questions that appear on the Self Evaluation. Select the one you wish
to remove and click 'Remove Selected Question.' You will not receive any warning
