Director of Accounts Payable
Requiring thorough knowledge of Accounts Payable procedures and functions to ensure timely and accurate disbursements in accordance with University policies and procedures, IRS, GAAP, and other regulatory requirements. Records, examines, and analyzes disbursements; analyzes and prepares reports and reconciliations; monitors aging reports; proposes new procedures; reviews disbursements for accuracy and conformance with established standards and procedures. Provide guidance to University departments regarding payment methods, expense reports, vouchers, required documentation, & IRS & Federal vendor reporting guidelines.
Description Pct. of Time
Prepares, consolidates, and audits accounts payable transactions to ensure payments are properly authorized and in compliance with University policy and procedures, generally accepted accounting principles (GAAP), and regulatory requirements. 45%
Maintain supplier database and records. Review and approve supporting documentation in accordance with University policies and regulatory regulations. Coordinate with internal and external customers regarding discrepancies, questions, and other items. 15%
Engage & effectively communicate policy/procedures/regulations with internal and external customers. Handle confidential information necessitating above average communication skills to include considerable use of tact, diplomacy, discretion, & judgment. 10%
Review/analyze G/L accounts, vouchers, and PO reconciliations using judgement, research, analytical decisions, and coordinating adjustments. Review transactions for timeliness, accuracy, and conformance with Univ policies & regulatory regulations. 10%
Maintain updated working knowledge and maintains on-going knowledge, of a University’s policies, procedures, and regulatory compliance, including IRS, U.S. Treasury, sales and use tax, GAAP, and 1009/1042S reporting. 5%
Attend meetings, seminars, staff developments and training sessions. Serve on University committees as appropriate, assist with special projects of the Controller’s Office, and perform other duties as assigned. 5%
Works on projects that are complex in nature where judgment and initiative are required in resolving problems and making recommendations. 5%
Assist with monthly and year-end closing procedures, entries and reporting; and external and internal audits by preparing working papers and generating reports. 5%
